Most customer inquiries — including appointment bookings, confirmations, changes, and cancellations — are handled independently by the AI chatbot through to completion. Handover is an escalation level for certain situations, not a default setting. A well-configured handover mechanism triggers automatically at the right moment. A full re-handover to the bot within an active session is configuration-dependent and can be individually arranged in the Custom package.

How is the bot configured to trigger a handover?+

The handover mechanism is configured in the Zentor App dashboard. There you define which keywords, situations, or customer requests should trigger a handover. Additionally, a confidence threshold can be set: if the bot's answer quality falls below a defined value, it escalates automatically — without the customer having to intervene.

What information does the team member receive during handover?+

The team member immediately sees the complete conversation history in the omnichannel inbox: all of the customer's questions, all of the bot's answers, the channel (webchat, WhatsApp, etc.), and the timestamp. In addition, Zentor App transmits contextual information the bot has captured during the conversation — e.g., products mentioned or the identified customer concern.

Can handover also be triggered outside business hours?+

Yes. The handover mechanism is technically always active — regardless of time of day or business hours. Zentor App supports configuring business hours: outside these times, the bot can inform the customer that no team member is available and record a contact request for the next business day — instead of leaving the handover unanswered.
