Create users and manage roles

The two tenant roles (CUSTOMER_ADMIN, EMPLOYEE), user creation and teams at a glance.

Last verified: 2026-07-20

For your tenant there are exactly two roles: "CUSTOMER_ADMIN" (full access, incl. settings, payments, branding, user management) and "EMPLOYEE" (mostly read access plus chatbot creation and knowledge corrections). There is no fine-grained per-module permission assignment via individual checkboxes for regular tenant users — you choose one of the two fixed roles.

Step by step

  1. Open the "Users" sectionNavigate via the sidebar to the "Users" section.
  2. Create a new userClick "Add user" and enter the email address, password, first/last name and username.
  3. Assign a roleIn the role dropdown, select "CUSTOMER_ADMIN" or "EMPLOYEE". If none is selected, "EMPLOYEE" is set automatically.
  4. Optional: assign to a teamIf needed, create a team in the "Teams" section and add the user as a member — this is a separate step, not part of the user creation form itself.
  5. Deactivate or delete a userUse the icons in the user list to suspend a user, reactivate them, or delete them permanently.

Expected result

The new user can log in with their role and sees a correspondingly restricted or full sidebar.

Common error cases

I cannot create another user.

Cause: Your tenant has reached a user limit (package-dependent).

Resolution: Check your current user limit on the dashboard or contact Zentor for an increase.

An EMPLOYEE user cannot open Settings.

Cause: This is expected behavior — EMPLOYEE has no permission to read/edit "Settings" by default.

Resolution: Assign this user the "CUSTOMER_ADMIN" role if they need settings access.

I want to automatically assign conversations or tasks to a team.

Cause: Teams currently only serve for membership management — automatic assignment of conversations or tasks to a team is not implemented.

Resolution: Currently coordinate handling of conversations/tasks manually within the team (see "Take over handed-over conversations as an agent").
